AI-native property management system for hospitality

Moving a guest used to be a whole project. Now it’s a sentence and a yes.

Your team is paid to look after guests, not fill in fields. In ApexOS you say what needs to happen. Apex finds the guest, checks which units fit, opens the move with the new unit filled in and drafts the updated confirmation. Nothing changes until you approve it.

Ask Apex, inside the reservationReservations · Ask Apex

Animation: a reservation for Erin Johnson's party of six in Cedar Cabin 4, which sleeps four. In the Ask Apex box someone types: move the Johnsons to a bigger cabin and send them an updated confirmation. Apex finds the reservation, checks which units are free for the same dates and lists three that sleep six or more. It picks Lakeside A-Frame and opens the Modify reservation screen with the new unit filled in, and nothing moves until a person confirms it. Once they do, the reservation shows Lakeside A-Frame and Apex drafts an updated confirmation for Erin, marked as needing approval. A person approves and sends it.

Hospitality property management software with AI built in

Fewer clicks. Same team. Noticeably less sighing.

One sentence. Then one approval.

Put Maria on tomorrow’s three checkout cleans. That’s the whole task. Apex finds the tasks, shows you exactly what will change, and waits. Nothing is saved until you say so.

  • Type it or say it
  • A preview before anything changes
  • Nothing saves until you approve

Animation: on the Assistant page someone types: put Maria on tomorrow's three checkout cleans. Apex shows a preview of the three checkout cleans, at Lakeside A-Frame, Cedar Cabin 2 and Pine Loft, each changing from unassigned to Maria Santos, and says nothing is saved yet. It is confirmed, and all three are assigned to Maria.

Every arrival comes with a heads-up. Not a surprise.

Before each arrival, the Arrival Readiness agent checks the unit, the balance, the agreement and the guest’s history. Anything your team should know shows up before the guest does.

  • Unit, balance and history, checked
  • The balance owed, flagged early
  • Last stay’s complaint, not forgotten

Animation: over a photo of two guests arriving with suitcases, a card shows today's 4 pm arrival at Birch Hollow Cabin. The Arrival Readiness agent checks the unit, the balance, the agreement and the guest's history. The unit is clean and the agreement is signed, but it flags 420 dollars still owed and a complaint from the last stay about a cold hot tub, to the front desk rather than the guest. The balance is paid and the hot tub is checked, and the arrival shows as ready.

The new hire has questions. Apex has read the handbook.

Apex answers from your own policies and shows where the answer came from. A discount over someone’s limit goes to a manager whose cap covers it, with the reason already attached.

  • Answers cite your own policies
  • Big discounts go to the right manager
  • No handbook quiz on day one

Animation: Jess Park, in her first week on the front desk, asks Apex whether she can waive the pet fee for a returning guest. Apex answers that returning guests can have it waived once per stay, citing the property's own pets and pet fees policy. The 75 dollar discount is over Jess's 50 dollar cap, so it goes to Priya Shah, a manager whose cap covers it, with the reason attached. Priya approves it.

Nobody retypes your old system. Not even the intern.

Give us your reservations export and contacts list. Apex maps the fields, learns the mapping and flags what’s ambiguous instead of guessing, and every mapping is confirmed before anything loads. Lodging types, reservation types and a chart of accounts are set up before you start.

  • Fields mapped, not retyped
  • Ambiguous data flagged, not guessed
  • Sensible defaults already in place

Animation: an uploaded reservations export. Apex suggests an ApexOS field for each column, such as guest name, arrival date, departure date and unit, each with a match score. One column, amt, could be the total or the balance, so it is flagged for a person instead of guessed. A person picks total and confirms the mapping, which is learned for next time. Lodging types, reservation types and a chart of accounts are already set up.

What your team works in all day. Fewer tabs than you’d think.

One box for the whole property, on its own page and on every reservation. Type it or say it. Any change comes back as a preview with a Confirm button, not a tour of the settings menu.

AI-native property management system FAQs

Reasonable questions.

What is an AI-native property management system?

An AI-native property management system has AI built into its core, so it can carry out a task you describe across reservations, folios and guest messages instead of only answering questions about itself. ApexOS is an AI-native PMS for vacation rentals and RV parks: you say what needs to happen, review the preview and approve it.

Is ApexOS a PMS with a chatbot added on?

No. Apex works through the same records and permissions as your team, so one instruction can line up work across reservations, guests, messages, operations and payments. Anything that contacts a guest or moves money waits for a person.

Does the AI act on its own, or does my team stay in control?

Your team stays in control. Apex works inside your role permissions and always stops for approval where money moves or a guest is messaged, and you can tighten every other gate. Any change it makes shows a preview first, and every agent action is recorded with its reasoning.

What happens to our data when we switch?

It comes with you. Contacts, reservations, units, rates, payments, gift cards and owners are migrated from your exports: Apex maps the fields and flags what’s ambiguous, and every mapping is confirmed before it loads. Imported notes can become guest memories, marked low confidence until someone confirms them. Reports and artifacts export to CSV, XLSX or PDF whenever you need them.

What happens if Apex gets something wrong?

The same as when a person does, minus the hunting. Every run and action is recorded with what it did and why, audited records keep their old and new values, and a corrected memory stays corrected. Approval gates mean the highest-stakes actions get a person first.

Can ApexOS handle nightly and long-term stays together?

Yes, on one calendar and one ledger. Nightly stays and long-term stays of 28 nights or more are both native reservation types, and meter readings for utilities bill to the stay’s folio. A mixed portfolio doesn’t need mixed systems.
