Marina management software

A slip is not a room. Your software should know that.

A slip has a length, a beam and a draft. A rack has a height and a weight limit. Apex checks every boat against both, schedules every launch against the forklift that does it, and bills the move when it’s done. Apex agents chase whatever runs late.

Boat slip reservation software

A 34-foot boat does not fit in a 32-foot slip. We checked.

Every slip carries its limits for length overall, beam, draft and weight. Every boat’s dimensions stay on the boat, season to season. Apex checks one against the other when you book, and warns you when it won’t fit.

Dry stack marina software

Somebody has to schedule it, chase it and bill it. It no longer has to be you.

Forty boats want the water at nine. You have one forklift.

Launches, retrievals and relocations go on one queue, scheduled against the equipment that does them. Your staff confirm every request, and two moves can’t land in the same slot. The boater gets a text when it’s confirmed and again when the boat is ready.

  • Forklifts, cranes and tractors, each with its own slots
  • Every request confirmed by your staff
  • A text when it’s confirmed, and when it’s ready

Animation: the Movements queue on a Saturday morning. A requested launch is confirmed into the next open slot on Forklift 1 and the boater is texted. The 9:00 launch moves from in progress to ready, the owner is texted, and it completes with its fees posted to the folio.

The 9:15 launch is late. The dock master heard before the boater did.

Every movement goes out as an operations task. When one runs past due, an Apex agent tells the people you name, by text, email or in the app. Boaters’ texts get answers from your own rates and policies, and anything that moves money waits for a person.

  • Late tasks escalated to the people you name
  • Texts answered from your rates and policies
  • Money and messages to boaters wait for approval

Animation: the Apex agents view. The Late Task Escalation agent finds a launch 12 minutes past due and texts the dock master. The Arrival Readiness agent flags an arriving slip with an unsigned agreement. Beside them, a boater texts to ask when the fuel dock closes on Sunday and gets an answer from the knowledgebase.

The after-hours fee is on the folio. Nobody wrote it down.

When a move completes, its fees post to the boater’s folio on their own: after hours, service moves, launches past the included number. Metered power bills to the same folio. Ice ordered at the ship store is prepped before the boat goes in.

  • Movement fees posted when the move completes
  • Metered power at the slip, billed to the folio
  • Ship store, fuel dock and dockage on one ledger

Animation: a boater’s folio. After the launch completes, an after hours fee and a launch overage fee post on their own, then a metered electric charge, then a ship store order of ice, water and bait, with a delivery prep task 15 minutes before the launch.

Marina business management software

Boats, books, new hires. Surprisingly calm.

One boater is here for the night. One has had B-4 since 2009. Same grid.

Transient nights and slip leases share one grid and one ledger. A lease books through a wizard that ranks the slips by fit, quotes the monthly rent and bills on the first or the anniversary. A lease with 60 days left shows on the site map.

  • Transient nights and slip leases on one grid
  • Recurring billing with due dates and a card on file
  • Leases ending within 60 days on the site map

Animation: the slip lease wizard. Three slips are ranked good, fits and tight for a 34 foot boat, each with a monthly quote. B-4 is chosen on a 12 month term billed on the first of the month, and the billing schedule appears. Then the site map, with transient stays, slip leases, and two leases ending within 60 days in amber.

The marina and the restaurant keep separate books. They are still on speaking terms.

Slips, cottages, sites and rooms live in one account. Where the marina needs its own books, it gets its own fund with its own chart of accounts and tax districts. The main reports still show the whole property at once.

  • Slips, cottages and sites in one account
  • Separate funds for the marina and the lodging
  • One view of the property in the main reports

Animation: a revenue statement switched from all funds to the marina fund to the lodging fund. Dockage, dry storage, movement fees and the fuel dock sit in the marina fund; cottages, RV sites and the restaurant in the lodging fund.

The new dock hand started Tuesday. It’s going fine.

Most tasks can be done by describing them to Apex. A new hire says what needs doing, and it gets done inside your approval rules. What the veterans know stays in the system, not with whoever ran the forklift last summer.

  • Describe the task, and Apex does it
  • The same rules and approvals as your veterans
  • Boat and boater history that outlasts the season

Animation: a new hire types a request to move a boat to slip B-6 for three nights and text the owners. Apex checks the boat fits, moves the reservation, and drafts the text, which waits for approval until a manager approves it.

Staylist customer stories

They’ve switched software before. They’d rather not again.

Our prior software inhibited us from growing. It inhibited us from offering a wonderful experience for our guests. StayList has come to the table and helped our park grow not only for our guests but for our revenue and for our partners. They want you to succeed. They want you to grow and they take the attitude that if you grow, they grow, and they are really a partner that is not on your payroll.

Marina management software FAQs

Fair questions.

What is marina management software?

Marina management software runs what a marina does that a hotel system doesn’t: slips assigned by vessel dimensions, dry storage managed as physical rack space, launches scheduled against the equipment that moves the boats, and dockage, movements, power and retail billed to one account. Apex is marina software with Apex agents built in, and tasks you can describe to it.

Does Apex handle dry storage and boat movements?

Yes. Dry storage is sized by length, width, height and weight, because a rack position either fits or it doesn’t. Launches, retrievals and relocations are scheduled against your forklifts, cranes, tractors and other equipment, each with its own operating hours and slots. Your staff confirm every request, the boater gets a text when the boat is ready, and the fees post to the folio when the move completes.

What do Apex agents do at a marina?

They watch the things somebody ought to check and flag what slips: an arrival with an unpaid balance or an unsigned agreement, a launch task running past due. Late tasks go to the people you name by text, email or in the app. Agents follow the policies in your knowledgebase, and anything that moves money or messages a boater waits for a person to approve.

Can we run a marina and cottages or an RV park on one system?

Yes. Slips, cottages, sites and rooms are all inventory types in one account, on one grid. Where the marina needs its own books, it can sit in a separate fund with its own chart of accounts and tax districts, and the main reports still show the whole property. The ship store, food service and metered power post to the same folios.

Can a small dock team adopt this quickly?

Yes, and lean teams tend to get the most from it. Migration brings over your units, contacts, point of sale items, gift cards, owners, reservations, rates and transactions. After that, most tasks can be done by describing them to Apex, which helps when the dock crew is new every spring.
