RV park property management software

Run July with a February-sized front desk.

Peak weekend. Six deep at the desk, three lines ringing, half the staff hired in June. Apex checks every rig against its site, rings every call through to whoever’s free, and lets a new hire say what needs doing while agents do it inside your rules.

Forty-two feet of rig. Thirty-eight feet of site.

The guest booked one rig and signed the agreement with a bigger one. Apex flags it before the rig pulls in and sets up the move for your team to confirm.

Arrival Readiness

The Arrival Readiness agent lists Friday’s six arrivals. Three need attention. Hughes is flagged: the signed agreement lists a 42 foot Class A, and Site 14 takes rigs up to 38 feet. The front desk was notified on Thursday.

Fill every site. Without filling every hour.

Saturday, 11:20. Three calls. One of you.

Every call rings your team in the browser and goes to whoever’s free. Each one is transcribed and summarized. The one nobody reached waits in the inbox with a summary, ready to call back.

  • Calls ring your team in the browser
  • Texts and chat answered from your park’s knowledge
  • Missed calls waiting with a summary

Animation: on a Saturday morning three calls arrive at once on the live board. Two ring through to staff members who take them; the third goes to voicemail and waits with an AI summary and a next step to call back.

Sell Tuesday night to the guest checking out Tuesday.

A two-night stay in a four-night opening leaves a night on either side nobody will take. Apex marks those orphan nights in red on the rates grid. Guests can add the night themselves from the guest portal before they arrive, and your team can move or extend a stay from the reservation.

  • Orphan nights marked in red on the rates grid
  • Guests extend their own stay, when you allow it
  • Length-of-stay rules that hold on the channels too

Animation: the reservation grid for four sites. A two-night stay on Site 14 leaves an open night on either side; both are flagged, and the stay is extended to four nights to fill them.

The firewood is on the folio. The guest is still walking back.

The camp store, the grill and the folio are one system, so a sale charged to the site is on its bill straight away. Electric readings go in a batch grid beside last month’s and post to each site’s folio when you bill. What a stay earned stops being a guess.

  • Charge to site across the whole property
  • Meter readings billed to the right folio
  • Retail and lodging revenue on one ledger

Animation: at the camp store, an order of firewood, ice and a s’mores kit is charged to Site 14’s folio. Then a meter reading batch fills in current electric readings beside the previous ones and bills them to each site’s reservation.

Software for RV parks and campgrounds

A park is five businesses. Apex is one system.

Nothing to reconcile at midnight.

Reservations, the store, the grill, the meters and maintenance share one data model and one login. Work orders sit on the site they belong to, and a site you mark out of service leaves the grid.

  • Every reservation in one view
  • Housekeeping and work orders by site
  • Electric meters and usage handled natively

Animation: the operations view for six sites and a cabin. A high priority maintenance task comes in for Site 31, the site is marked out of service, and sites available tonight drops from 14 to 13.

Here for a night. Here since March. Same grid.

Nightly and long-term guests are native reservation types on one grid and one ledger, not workarounds. Monthly rates bill by the month, not as a daily figure that rounds badly, on the anniversary or the first.

  • Nightly and long-term, one grid, one ledger
  • Recurring billing with due dates
  • Offer a renewal before the term ends

Animation: the reservation grid with long-term guests and nightly guests side by side. Beside it, a long-term guest’s monthly invoices, each with the site and its electric, and the next one due on the first, with an option to offer a renewal.

The playbook stays when the summer crew goes.

The knowledge lives in the system, not in whoever worked last August. New hires describe a task and Apex agents do it inside your approval rules. Every answered call is scored with the transcript beside it, so you coach from what was said.

  • The same rules and approvals as your veterans
  • Every answered call scored, transcript beside it
  • Guest history that survives the end of the season

Animation: the call history. A new hire’s booking call opens with an AI score of 86, a quality review checklist with one missed step, and the transcript of the call.

Staylist customer stories

Don’t take our word for it. Take theirs.

Our prior software inhibited us from growing. It inhibited us from offering a wonderful experience for our guests. StayList has come to the table and helped our park grow not only for our guests but for our revenue and for our partners. They want you to succeed. They want you to grow and they take the attitude that if you grow, they grow, and they are really a partner that is not on your payroll.

RV park management software FAQs

Fair questions.

What is RV park management software?

RV park management software runs what a hotel system was never built for: sites rather than rooms, rig dimensions and hookups, metered utilities, and stays from one night to months at a time. Apex is RV park software with agents built in, so it carries out the tasks you describe inside the approval rules you set, instead of leaving your team to do the clicking.

How does Apex help me manage and fill RV park bookings?

Three ways. It checks every rig’s length, width and slide-outs against the site. It marks orphan nights on the rates grid, and guests can extend into them from the guest portal when you allow it, with length-of-stay rules that hold on the channels. And every call rings your team in the browser, with missed ones waiting in the inbox with a summary.

Does Apex integrate with my PMS and POS?

More often it replaces them. Reservations, point of sale, accounting and guest messaging are one system, so a firewood sale lands on the site folio with nothing syncing in between. Meter billing and recurring billing for long-term stays are built in, and the OTAs connect through the built-in channel manager.

Can a small seasonal team adopt this quickly?

Yes, and lean teams tend to get the most from it, because the system absorbs coordination a bigger staff would do by hand. Implementation starts with a guided data migration from 19 supported sources. Training is a conversation: if somebody can describe the task, they can run the system. Handy, when you hire a whole new team every spring.
